Set up a Workflow

Follow these steps to set up a Workflow:

Click on your profile in the upper right corner and navigate to Settings.

In the left panel, select Workflows.

Here, you’ll see any existing workflows that have been previously set up.

Create an Email and a Condition

To create a new workflow, you’ll need to create an Email and a Condition.

Email

This email is what users will see in their inbox once a workflow is triggered and assigned to them. If you prefer, you can skip this step and use our default workflow email.

To create an email, click Create Email and begin drafting. Once you have drafted your email, you can save as a template for future use.

Conditions

The Condition defines why a workflow should be triggered and specifies the recipient. To create a condition, select Create Condition.

Fill in Condition Details:

  1. Determine your Workflow Condition Name

  2. Select a Workflow Definition: Score Escalation, Evaluation Dispute, or APT (defined in Workflow Types above).

  3. Choose your Module (this is the Evaluation Module the Workflow pertains to).

  4. Depending on which Workflow Definition you’ve selected, you will have specific options:

    1. Score Escalation: Input your Workflow Condition Score Threshold. If the selected module is given a score under this threshold, the Workflow will be triggered.

    2. Evaluation Dispute: You’ll be able to add specific levels to the Workflow directly.

    3. APT: You’ll select the Question and Tag (i.e., Answer). The Workflow will be triggered when that specific Evaluation Question receives that specific Answer Tag.

  5. Select Add Level.

  6. Each Level can have a designated Recipient (i.e., Workflow Reviewer who will be notified to take action). Once Level 1 Recipient Reviews the triggered Workflow, it will go to the Level 2 Recipient, and so on.

  7. Once you select a Recipient, you’ll be prompted to select an Email Template. Select from a template you have created, or use the default email template.

  8. Choose your desired email delivery cadence. Recipients can revieve notifications immediately or batched on a daily, weekly, or monthly basis.

  9. Select Create Condition to save.

Once a workflow is triggered, the designated reviewer will receive an email notification.
